Do you need a document management system?

Do you need to share information with colleagues over the Internet? Do you need something better than just a folder? A document management system allows you to share documents just like a folder but also allow you to make requests like:

  • Show all documents relating to customer c1 and project p1 regardless of where they are stored and what they are called.
  • Show what a document looked like between date d1 and date d2.
  • Show when and by whom a document was changed.
  • Show all documents in project p2 that have status "Approved".
  • Make sure that only people with a certain role and/or named individuals can see a document.
  • Subscribe to a folder and get an e-mail message (immediately, daily or weekly) when a document is added or changed.

Sending sensitive documents unencrypted as attachments to e-mail messages is irresponsible. Managing encryption systems has been cumbersome. Now there is a better way. Easy to use links to all documents protected by SSL.

URL links to documents can be sent in e-mail messages instead of sending documents as attachments:

  • Prevents unauthorized access since the whole process is encrypted (SSL - Secure Sockets Layer).
  • Prevents e-mail systems from filling up.
  • Means that the receiver always sees the latest version.
